Administrative assistants handle a lot of tasks. Almost every category of business needs some level of administrative staff. From office managers to executive assistants, the daily duties of an administrative assistant will be different depending on the requirements of the business. However, there are a few typical things an admin is responsible for in any organization. Here is a quick daily activity breakdown so you can see if a career in administration is right for you:

  1. Administrative professionals are often responsible for the primary correspondence in and out of the office. This may consist of answering phone calls and emails. Many of these items are critical to the business, so an effective admin needs to be able to prioritize their duties in order of importance.
  2. Depending on the specific administrative role, an assistant may be responsible for the execution of meetings in and out of the office. This may involve everything from the planning and setting up of the entire meeting to providing necessary materials. Admins may also take extensive notes from a meeting to provide them to the attendees after the fact.
  3. An administrative job is, at its core, a support role. You may be supporting an entire small business or you may be supporting a department or an executive. Whatever the case for your specific job, this is the number one most important part of the daily duties.
  4. Planning and scheduling. Beyond meetings, an admin may provide additional planning and support for “out-of-office” activities. Most often this refers to travel arrangements for high-level executives.
  5. Finally, an administrative assistant is responsible for documenting daily activities to provide a record of what needs to be done and what has been done. Documentation can sometimes make or break a company, so having a trustworthy person in the support role is essential for success.
